About the Role:
We are seeking a highly organised and dependable Executive Assistant (EA) to provide administrative support to our Chief Product Officer (CPO) and Chief Technology Officer (CTO). This role requires excellent attention to detail, strong organisational skills, and the ability to manage priorities in a fast-paced environment. It’s a great opportunity for someone with a foundation in director-level or team support to grow their career by working directly with two senior executives in a global technology company.
What You'll Do:
Calendar & Scheduling
- Proactively manage complex and dynamic calendars for the CPO and CTO
- Arrange internal and external meetings across multiple time zones
- Anticipate scheduling needs and resolve conflicts quickly
Travel & Logistics
- Coordinate travel arrangements, itineraries, and accommodations
- Manage logistics for conferences, leadership offsites, and board-related travel
Meeting & Admin Support
- Prepare and distribute agendas, briefing materials, and follow-up notes
- Ensure meeting logistics are in place (rooms, video conferencing, catering)
- Track and follow up on action items where required
Expenses & Documentation
- Process expense reports accurately and in a timely manner
- Handle invoices, purchase orders, and related admin tasks
- Maintain organized and up-to-date electronic filing systems
Communication & Coordination
- Act as a professional point of contact for internal and external stakeholders
- Draft and proofread simple correspondence and executive communications
- Collaborate closely with other executive’s assistants to ensure smooth coordination across the leadership team
General Administrative Support
- Handle sensitive and confidential information with discretion
- Provide day-to-day support for ad hoc requests and priorities
What You Need to Succeed:
- Demonstrable experience in an Executive Assistant, Team Assistant, or Office Administrator role
- Proven ability to manage multiple executives or complex calendars
- Proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel) and collaboration tools (Teams, SharePoint)
- Strong organisational and time-management skills with excellent attention to detail
- Professional written and verbal communication skills
- Reliable, proactive, and able to work with a high degree of discretion
