Tracera is a fast-growing sustainability and ESG data company, currently scaling after our Series A raise. We empower businesses to automate ESG data collection, auditing, and reporting with accuracy and efficiency. As we continue our growth journey, we are looking for an Executive Assistant (EA) who thrives in a fast-paced, early-stage SaaS startup environment. This role is critical to ensuring our leadership team remains focused, efficient, and supported as we scale operations globally.

The Role

We are seeking a highly organized and proactive Executive Assistant to support Tracera’s CEO and leadership team. This individual will not only manage administrative tasks but also play a key role in organizing our operating model, managing cross-functional projects, and ensuring seamless communication across tools like Notion, Slack, and Google Workspace.

The ideal candidate is someone who has previously supported executives at early-stage B2B SaaS startups (Series A/B) and understands the challenges of a fast-moving environment.

Key Responsibilities

  • Executive Support: Manage CEO’s calendar, coordinate meetings, schedule across time zones, and anticipate scheduling conflicts.
  • Communication Management: Organize and streamline Slack channels, email workflows, and communication cadences across the team.
  • Operating Model & Project Coordination: Help document, structure, and improve operating rhythms (cadences, reporting structures, handoffs) in partnership with leadership.
  • Notion Ownership: Build, maintain, and optimize Notion pages for company-wide processes, dashboards, and knowledge management.
  • Meeting Preparation: Prepare agendas, take notes, track follow-ups, and ensure action items are completed.
  • Cross-Functional Coordination: Work with Sales, Marketing, Finance, and People Ops to ensure projects move forward on time.
  • Confidentiality: Handle sensitive information with discretion and professionalism.

Qualifications

  • Fluent, professional English (spoken & written).
  • Prior experience as an Executive Assistant in a B2B SaaS startup (preferably Series A/B stage).
  • Proven ability to manage calendars, projects, and workflows in a fast-paced environment.
  • Proficiency in Notion, Slack, Google Workspace, and project management tools (Asana, Trello, or similar).
  • Strong organizational skills with attention to detail and ability to manage multiple priorities.
  • High level of professionalism, discretion, and strong interpersonal skills.
  • Experience in building and maintaining scalable processes.
